Selling and Redeeming Gift Cards

Gift cards are prepaid cards that people can buy now and use later. These cards aren’t connected to any personal bank account, which makes them a convenient and flexible gift option. You can use the OrderCounter system to sell, use, activate, and manage gift cards.

Selling a Gift Card
  1. Go to Order Functions: After logging in, tap the Order Functions button at the bottom of the screen.
  2. Choose Sell Custom Gift Card: In the Order Functions menu, select Sell Custom Gift Card.
  3. Enter Amount: Enter the amount you want to load onto the gift card and press Submit.
  4. Add Gift Card to the Order: Once the amount is entered, press Add Gift Card. The gift card is now added to the current order.
  5. Complete the Payment: Finish the transaction just like any other order, using your preferred payment method.
    • If your terminal has a card swiper, you can swipe the gift card. If not, select Manual Entry and type in the gift card number manually.

Using a Gift Card
  1. Start a New Order: Begin a new transaction in the POS and add the items that the customer wants to buy.
  2. Go to Payment Screen: When ready to check out, go to the payment screen.
  3. Select Gift Card as Payment: Enter the amount the customer wants to pay using the gift card, then choose Gift Card as the payment method.
  4. Swipe or Manually Enter Card Number: Swipe the card if possible, or choose Manual Entry to type in the card number.

Checking a Gift Card Balance
  1. Go to Control Panel: From the main screen, go to the Control Panel.
  2. Choose Gift Cards: Select Gift Cards to see the options for managing cards.
  3. Check Balance or History: You can swipe the gift card or manually enter the card number to:
    • Balance Inquiry: This shows how much money is left on the gift card.
    • History Inquiry: This shows all transactions made with the gift card. You can also print the history for a specific time period.

Creating a Gift Card Group

You can create a group of gift cards with a specific value, even setting a card value higher than the selling price, if desired.

  1. Navigate to Back Office: Go to Back Office > Database > Insert Gift Card.

  2. Name the Gift Card Group: Give the group a name, like "Valentine's Day $5" to easily identify it.

  3. Set Card Value and Selling Price: Enter the card value (the amount of money that will be on the card) and the selling price (the cost to buy the card). You can make the value higher than the price if needed.

  4. Add New Group: Click Add New Group to create the gift card group.

  5. Create Individual Cards: After adding the group, click the pencil icon next to the group name to add individual cards.

    • Enter the card number and click Add. Repeat this for all the cards in the group.

Activating a Gift Card
  1. Go to Order Functions: Tap Order Functions at the bottom of the screen.

  2. Activate Gift Card: Select Activate Gift Card.

  3. Swipe or Manually Enter Card Number: Swipe the card or type in the card number to activate it.

  4. Complete the Payment: Complete the payment as you would for any other transaction.

Menu Item Gift Card

You can also create a custom button on your menu to make selling gift cards easier.

  1. Navigate to Back Office > Menu > Menu Item: Go to the Back Office to add a new menu item.

  2. Create a New Menu Item: Click on an empty space to create a new menu button.

  3. Choose Gift Card Item Type: At the top of the screen, choose Gift Card from the Item Type dropdown.

  4. Enter Details:

    • Item Name: Enter the name that will appear on the button.

    • Button Color: Choose the color that makes it easy to spot on the screen.

    • Gift Card Price: Set the cost to buy the card.

    • Gift Card Value: Enter how much money will be loaded onto the card (this can be different from the selling price).

    • VIP Point Modifier: Set how many VIP points will be awarded when someone buys the card. For example, if a $10 card has a VIP point modifier of 100, the customer would receive 110 points for buying it.

Reports
  1. Gift Card Reports in Back Office: You can get more information about gift card groups by going to Back Office > Database > Insert Gift Card.
    • Here, you can see how many active or inactive cards are in each group.
  2. Sales Reports for Gift Cards: For more detailed information, go to Back Office > Data Mining > Sales Reports > Gift Card Report.
    • This report includes the card number, activation date, starting amount, and remaining balance.
    • You can also View History to see all individual transactions made with the gift card.
